Medical Staff/CME Coordinator utilizes independent critical thinking and problem-solving skills, responsible for administering, coordinating and maintaining Medical Staff services related to credentialing, re-credentialing, provider on- and off-boarding, and CME program/committee operations and projects. Ensures accurate interpretation and compliance with appropriate accreditation and regulatory agencies, while developing and maintaining a working knowledge of the statues and laws related to assigned Medical Staff processes. Responsible for maintaining the accuracy and the integrity of department records, databases and systems. Proactively communicates with providers, and colleagues to ensure a high-level of customer service is provided.
Coordinates all staff appointments including preparing and sending out applications; verification of practitionerï¿½s background including medical school graduation, internship, residency, fellowship programs, prior and current hospital appointments, academic appointments, reference checks, malpractice claims liability history, professional liability insurance coverage, State DEA, medical licensure, specialty certification, query including but not limited to National Practitioner Data Bank (NPDB) , Office of Inspector General (OIG), and System for Award Management (SAM), American Medical Association Physician Profiles (AMA), American Osteopathic Information Association (AOA), Education Commission for Foreign Medical Graduates (ECFMG); submits application documentation to Department Chairman and the Credentials Chairman and Committee for review.
Coordinates all staff reappointments including preparing and distributing reappointment applications; requests for up-to-date documents and delineation of privileges; verification of malpractice claims liability history, professional liability insurance coverage, State DEA, medical licensure, specialty certification/ re-certifications, and prior and current hospital appointments, queries NPDB, OIG, SAM; sends appropriate materials to Department Chairman and the Credentials Chairman and Committee for review.
Processes all requests for Temporary Privileges, including Locum Tenens and Emergency Privileges, and distributes information to appropriate departments.
Notifies staff members on a monthly basis that documents (expirables) in their credentials folder need to be updated.
Provides support to the Medical Staff CME Program by: interfacing with the guest speakers to confirm program dates, obtaining disclosure and speakerï¿½s agreements and directing follow-up correspondence. Will also be responsible for maintenance of attendance records, coordination of educational material and will be support to the Medical Staff Services Director as needed. Will attend CME Committee meetings, prepare CME Committee agenda, and transcribe the minutes for the Committee meetings. Prepares annual review forms as requested by the California Medical Association. Prepares documents for CME accreditation surveys and meets with surveyor(s) along with the Director of Medical Staff Services.
Works with the Quality & Patient Safety Department to maintain the physician OPPE/FPPE profile system for reappointments.
Responds to outside hospitals inquiries in a timely fashion, maintains tracking record and files. Prepares rosters and letters as requested.
Drafts and independently composes forms, letters, and memoranda as appropriate. Updates documents as appropriate.
Interacts regularly with and acts as a resource providing assistance as appropriate to physicians and hospital staff.
Handles all highly confidential material on a regular basis, maintaining discretion at all times.
Generate reports as requested by hospital departments.
Qualifications: Minimum Education:
High School Diploma or Equivalent required
Associate or Bachelor degree preferred
A minimum of 3-5 years in credentialing related experience
Five years experience with increased responsibility in a medical staff services department or other related setting: Preferred
Certification from the National Association of Medical Staff Services (NAMSS) as either Certified Professional Credentialing Specialist (CPCS) or Certified Professional for Medical Services Management (CPMSM) is preferred.
