The Opportunity
The Student Activities Office plays a crucial role in enhancing the student experience through a diverse range of events and initiatives that contribute to the school's vibrant academic and social environment. We are seeking a motivated and detail-oriented professional to join our dynamic team in the role of Program Assistant for Student Activities & Special Events to contribute to our mission of creating memorable and enriching experiences for our students. This is a standard, full-time opportunity, with occasional evening and weekend hours required for the successful execution of events.
Responsibilities: As the Program Assistant for Student Activities & Special Events, you will collaborate with the Johnson Student Activities Office and Student Services team to ensure the successful planning, coordination, and execution of a variety of events and activities that enhance the residential student experience. Your key responsibilities will include:
- Event Planning and Execution: Coordinate and oversee a diverse array of events, including workshops, orientation/pre-term activities, community wide social gatherings, co-curricular programming, excursions, retreats, annual case competitions, commencement activities, and more. Ensure events are meticulously planned, organized, and executed to meet the highest standards.
- Portfolio Management: Take ownership of key events within the Student Activities and Student Services portfolio, such as weekly "Sage Socials," monthly "Trivia Nights," two annual case competitions, yield weekend, "GradWeek" celebrations, and summer social events for JCT MBA students.
- Club and Organization Support: Serve as the main point of contact for student clubs and organizations as they plan and execute events. Provide guidance, support, and resources to ensure successful event planning and implementation.
- Feedback and Improvement: Gather and analyze feedback from students, staff, and faculty regarding events and activities. Use feedback to drive continuous improvement, ensuring that events consistently meet the evolving needs and expectations of the student community.
- Marketing and Communication: Collaborate with the marketing team to develop effective promotional materials for events. Ensure timely and accurate communication to students, faculty, and staff regarding upcoming events.
- Logistics and Operations: Manage logistical aspects of events, including venue and vendor coordination, catering, audiovisual requirements, and more. Ensure all details are seamlessly executed for a flawless event experience.

What We Need

- Associate's degree with 4 or more relevant work experience, or a combined equivalency of education and relevant work experience.
- Experience in event planning.
- Strong customer service and excellent organizational skills with a keen attention to detail.
- Independent problem-solving, initiative, and the ability to be flexible and balance competing demands in a fast-paced environment.
- Excellent command of Microsoft office applications (Word, Excel, Outlook, and PowerPoint);
- Outstanding written and verbal communication (including strong knowledge of English grammar and punctuation), along with a professional interpersonal communication style/demeanor.
- The ability to effectively build and sustain relationships with many kinds of people, including multiple stakeholders, vendors, and customers (students, faculty, staff, alumni, corporate partners, etc.)
- Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.
- The ability to exercise a high degree of discretion in dealing with confidential information.
- Candidates should have the flexibility to support evening and weekend programs and events.
- The ability to travel locally and across campus as needed to attend events, conduct site visits, and/or attend meetings with off and on-campus partners, vendors, and stakeholders.

- Experience using design software (such as Adobe Photoshop and/or InDesign), CampusGroups, Salesforce, Exchange Account Manager, 25Live, survey software (ideally Qualtrics).
- Experience using social media in a work environment.
